We're on the lookout for a Reception Administrator to join our busy Ponsonby clinic on a part-time fixed-term basis to cover parental leave starting training from January 2026.
Hours of work:
8am – 5pm Mondays
8am - 1pm Tuesdays, Wednesdays and Thursdays, and having Thursday off in week 3 - The clinic runs on a 4 week roster.

What You'll Do:
Our Reception Administrators are the frontline heroes of our clinics—keeping everything running smoothly while delivering an exceptional experience for every patient.
Key responsibilities include:
- Welcoming patients, answering calls and delivering warm, professional customer service
- Managing bookings, admissions, discharges and patient flow
- Maintaining accurate and confidential patient records within complex clinical systems
- Processing payments, invoices, prior approvals, and medical insurance/ACC claims
- Supporting a wide range of admin duties where precision and confidentiality are essential
This is a role where attention to detail truly matters. You'll be navigating multiple systems, managing time-sensitive tasks, and ensuring accuracy in every touchpoint—often at pace.
What a Typical Day Looks Like
- Greeting and checking in patients while updating personal information
- Handling appointment bookings and patient queries across phone, online and in-person channels
- Processing payments and documentation with accuracy and care
- Processing medical insurance and ACC claims, following up debtors and other administration duties
- Ensuring patient records are complete, correct and securely handled
- Working closely with your clinic team to keep the day running smoothly
You'll have full training and ongoing support from our wider Reception and Group Administration team. While there's plenty to learn, you'll have everything you need to succeed.

- Confident, polished and friendly with excellent communication skills
- Skilled in administration with strong attention to detail
- Comfortable working in a fast-moving environment with competing priorities
- Tech-savvy and confident learning new systems
- Adaptable, solutions-focused and always looking for process improvements
- A team player who's happy to chip in wherever needed
- Comfortable working with numbers
- Experienced in reception and/or admin (medical experience an advantage but not essential
