The Opportunity
We're seeking an exceptional Personal Assistant to support our Director in driving our growing property management business forward. This is a fantastic opportunity for a highly organized, proactive professional who thrives in a dynamic real estate environment and wants to be at the heart of our operations.
As the Director's right hand, you'll play a crucial role in ensuring seamless daily operations while contributing to our mission of providing outstanding property management services to our valued clients.
What You'll Do
Executive Support
- Manage the Director's busy calendar, coordinating meetings, property inspections, and stakeholder appointments
- Handle all correspondence with professionalism, screening and prioritizing communications
- Prepare presentations, reports, and documentation for client meetings and board presentations
- Coordinate travel arrangements and manage expense reporting
Property Management Coordination
- Act as a liaison between the Director and property managers, tenants, landlords, and vendors
- Maintain organized systems for property portfolios, lease agreements, and compliance documentation
- Track critical deadlines for lease renewals, maintenance schedules, and tenant matters
- Assist with preparation of financial reports and tenant payment records
Communication & Administration
- Serve as the professional point of contact for internal teams and external stakeholders
- Draft and edit business correspondence, contracts, and marketing materials
- Coordinate with our accounting, maintenance, and leasing teams
- Support special projects and company growth initiatives
Ideal Candidate
- Proactive self-starter with excellent problem-solving abilities
- Professional, diplomatic, and personable communication style
- Thrives in a fast-paced environment and can juggle multiple priorities
- Experience with property management software is a plus
- Understanding of New Zealand tenancy regulations is advantageous
- Flexibility to occasionally work outside standard business hours
- Diploma in management, property management and business or higher degree is essential or proven minimum 3 year work experience in Administrive, Executive assistant, Property managment can replace the requirement of the qualification.
