We're The Maintenance House – a growing property maintenance crew looking for an experienced building or maintenance administrator who thrives in a fast paced environment. This full time role is based at our premises in Manukau City.

The Job

  • You'll be the hub of the operation — the go-to person who keeps the day running smoothly and makes sure jobs get done right and on time.
  • Schedule and book a variety of maintenance jobs — from quick repairs, cleaning and gardening to full property makeovers — matching the right staff and tradies to the right tasks.
  • Pull together quotes, work orders, and invoices with accuracy, ensuring all time, materials, sundries, and variations are accurately captured and charged.
  • Communicate daily with property managers, tenants, home owners, staff and contractors to coordinate job details, answer questions, and keep communication clear and friendly.
  • Track each job from start to finish, checking progress and making sure work is up to standard before it's signed off.
  • Keep on top of the calendar and make adjustments as things change — because they always do.
  • Enter and update job details in our systems, keeping everything tidy and easy to follow for the whole team.
  • Help spot gaps or bottlenecks in the process and work with the team to make things better as we grow.
  • Be part of a tight-knit crew that takes pride in doing things properly and delivering solid results for our clients.

What We're After

  • Someone who has a strong understanding of property maintenance, backed by a building or trade-related background.
  • Someone who's super organised and can juggle multiple moving parts without losing track.
  • A clear and confident communicator — whether it's on the phone, by email, or face-to-face,
  • Previous admin, operations, or scheduling experience (bonus points if it's in property, trades, or construction).
  • Comfortable using job management software and general office systems — or quick to pick it up. (Experience in Tradify is a bonus).
  • A sharp eye for detail — you'll spot mistakes before they become problems.
  • Calm and steady under pressure, with the ability to problem-solve when plans change (because they will).
  • Proactive, reliable, and someone who takes ownership of their work.
  • A team player who enjoys being part of a crew and working with practical, hands-on people.
