As a Payroll Specialist you will play a pivotal role in ensuring the smooth operation of payroll services across the business.
What You'll Do
Your day-to-day activities will involve processing pay runs, maintaining confidentiality around sensitive employee data, preparing detailed reports for management review, and responding thoughtfully to queries from the wider business. You will also be responsible for upholding compliance with all relevant tax legislation and assisting with annual reconciliations. On-boarding new employees onto the payroll system will be another key aspect of your role. By regularly reviewing processes and participating in feedback analysis sessions, you will help drive improvements in service quality. Your contributions will extend beyond routine tasks as you support broader business excellence projects aimed at enhancing workplace methods and productivity. Success in this position requires not only technical proficiency but also a genuine commitment to teamwork and relationship building across departments.
- Process weekly, fortnightly, and monthly pay runs ensuring all changes are handled accurately and efficiently.
- Maintain strict confidentiality and integrity at all times when managing sensitive payroll information for employees across the network.
- Prepare comprehensive weekly, fortnightly, monthly, and year-end reports as required, supporting data-driven decision making.
- Respond promptly and professionally to queries, providing clear guidance and solutions while maintaining excellent customer service standards.
- Ensure full compliance with tax regulations including IRD filing and payments such as PAYE, Student Loan, Child Support, KiwiSaver, ESCT, guaranteeing accuracy and timeliness.
- Assist with ACC annual reconciliation payments to ensure all statutory obligations are met without error or delay.
- On-board new employees onto the payroll bureau system smoothly and efficiently, supporting their transition into the organisation.
- Review processes and procedures regularly to optimise system usage, strengthen controls, enhance accuracy, and reduce risk throughout payroll operations.
- Participate actively in gathering and analysing member feedback to assess satisfaction levels and identify areas for service improvement within the payroll function.
- Contribute to business excellence initiatives by implementing actions that address process improvement opportunities identified through analysis or feedback.
What You Bring
- Demonstrated experience of at least three years in a similar payroll specialist role within a medium or large organisation where accuracy was paramount.
- Proficiency in using MYOB Pay Global software for end-to-end payroll processing including reporting functions.
- Advanced computer literacy encompassing Microsoft Word, Excel, PowerPoint for documentation, analysis, and presentation purposes.
- Excellent verbal communication skills enabling you to interact effectively with colleagues at all levels as well as external stakeholders.
- Strong written communication abilities allowing you to prepare clear reports and respond professionally to queries.
- Calm demeanour under pressure when dealing with complex customer requests or tight deadlines within the payroll cycle.
- Commitment to maintaining confidentiality and integrity when handling sensitive employee information or financial data.
