As an Operations Coordinator, you will play a pivotal role in ensuring the smooth functioning of our operations across New Zealand.

Position Overview:

We are seeking an experienced and organized Operations Coordinator to join our team in Mt Wellington, Auckland. The primary focus of this role is to manage office operations, oversee asset management, national logistics and handle various operational and marketing activities. The Operations Coordinator will work closely with different departments to ensure efficient day-to-day operations and contribute to the overall success of our organization.

Responsibilities:

1. Office Management:

• Coordinate and manage daily office operations, including maintaining office supplies, managing office equipment, and ensuring a clean and organized work environment.

• Oversee facilities management, including building maintenance, repairs, and office safety procedures.

• Support employee on boarding and off boarding processes, including workspace setup, equipment allocation, and access control.

2. Asset Management:

• Develop and implement asset management processes, including tracking, monitoring, and maintaining accurate records of company assets.

• Coordinate asset procurement, including liaising with vendors, obtaining quotes, and managing purchase orders.

• Conduct regular audits to ensure asset compliance and recommend improvements to optimize asset utilization.

3. Operational Support:

• Collaborate with various departments to support operational activities, such as coordinating meetings, scheduling appointments, etc.

• Assist in the development and implementation of operational policies, procedures, and guidelines.

• Maintain and update operational databases, reports, and documentation as required.

4. Vendor Management:

• Establish and maintain relationships with vendors, ensuring timely delivery of goods and services.

• Negotiate favorable terms and conditions with vendors, including pricing, contracts, and service level agreements.

• Evaluate vendor performance and provide feedback to improve service quality and cost effectiveness.

5. Cross-Functional Collaboration:

• Work closely with internal teams, including sales, marketing, finance, and warehouse, to facilitate effective communication and cooperation.

• Identify process bottlenecks and propose solutions to enhance operational efficiency and productivity.

• Collaborate with regional and global teams to align operations and share best practices.

6. Marketing Coordination:

• Manage marketing sponsorship activities, ensuring all initiatives comply with internal processes and brand standards.

• Coordinate with suppliers and the sales team to plan and execute customer showroom upgrades.

• Maintain accurate marketing merchandise inventory, and conduct regular stock-takes to ensure inventory accuracy.

• Update and reconcile merchandise records in the system promptly to reflect stock movements, new arrivals, or expired items.

• Provide support for ad hoc marketing initiatives, such as campaign launches or events, coordinating logistics and materials as required.

Requirements:


• Fluent in both Mandarin and English.

• Bachelor's degree in business administration, operations management, or a related field is preferred.

• Proven experience as an Operations Coordinator or in a similar operational role.

• Strong organizational and time management skills with the ability to multitask and prioritize effectively.

• Excellent communication and interpersonal skills to collaborate with different stakeholders.

• Proficient in using MS Office Suite (Word, Excel, PowerPoint) and familiarity with operational software and databases.

• Demonstrated ability to solve problems and make sound decisions in a fast-paced environment.

• Knowledge of office management procedures and asset management principles.

• Understanding of workplace health and safety regulations.

• NZ resident/citizenship or valid work permit for employment in New Zealand.
