We're seeking an organised and proactive full time Personal Assistant / Administration Support to provide high-level administrative assistance to our NZSIR General Manager – Central Region and leadership team, while supporting a range of operational functions across the business.
The Role:
This role provides high-level administrative and project support to the General Manager – NZSIR Central Region and senior leadership team, ensuring the smooth and efficient running of the business. You'll also play a key role in supporting our auction operations, providing end-to-end administrative coordination for property auctions.
Key Responsibilities
- Provide administrative support to the General Manager - NZSIR Central Region and senior leaders, including diary management, arranging travel and itineraries, preparing expense reports, and managing correspondence.
- Coordinate and prepare documentation such as agendas, meeting minutes, board updates, and presentations for internal and external meetings.
- Assist with planning and logistics for company events, training sessions, conferences, and leadership meetings.
- Support HR-related activities such as onboarding coordination, maintaining records, and assisting with general HR administration when required.
- Manage induction coordination for new team members and provide travel and logistical support to the wider NZSIR team.
- Act as a key communication point between the General Manager and wider team to ensure smooth information flow across the business.
- Oversee the coordination of auctions, including scheduling, venue bookings, creation of auction collateral, and preparation of CRM and post-auction reports.
Key Skills and Attributes:
- Strong administrative skills and experience is essential – real estate industry knowledge preferable but not essential.
- Highly organised and professional.
- Attention to detail, accuracy and ability to proofread.
- Ability to prioritise and meet the commitment of those priorities.
- Comprehensive understanding of the suite of software including Word, Excel and Adobe.
- Motivated and able to work unsupervised and use your initiative.
- Sense of humour.
- Exceptional can do, willing and adaptable and flexible attitude.
- Ability to effectively prioritise workflow across the range of projects.
- Sensitivity, discretion and confidentiality are essential.
