**Key Duties and Responsibilities**:
- Manage the Director's digital calendar, schedule meetings, and ensure appointments are prioritized to align with operational and business goals.
- Take notes during meetings either in the office or over the google meet.
- Prepare high-level reports, and briefs for the Director, including financial summaries, production schedules, and supplier updates.
- Act as the point of contact for external contacts, including suppliers, contractors, and service providers, handling inquiries and correspondence.
- Assist with procurement coordination by liaising with suppliers to obtain quotes, process purchase orders, and track the delivery of essential supplies and services.
- When required, manage the Director's travel arrangements, including booking flights, accommodation, and preparing itineraries for site visits, business meetings, or industry events from time to time
- Oversee the organization and maintenance of confidential company records, including contracts, operational files, and compliance documentation including ensuring proper cloud storage of all the digital records
- Prepare and manage expense reports for the Director, ensuring accuracy and proper documentation for business-related costs.
- Coordinate and track key operational tasks such as licensing renewals, health and safety documentation, and supplier agreements to ensure deadlines are met.
- Support the Director in preparing for client or supplier meetings by compiling relevant data, production updates, and financial forecasts.
- Organize and oversee office administrative systems, ensuring a smooth workflow between departments and external contacts.
- Research industry trends, market updates, and potential innovations in horticulture to provide valuable insights for the Director's strategic planning.
**Key Requirements**:
- NZ Register Level 4 qualification or equivalent, OR
- at least 3 years of relevant experience.
- Excellent organizational skills with the ability to manage calendars, prioritize tasks, and track operational progress.
- Proficiency in Microsoft Office Suite and experience with digital tools for scheduling, reporting, and communication.
- Strong ability to prepare professional reports, presentations, and meeting briefs for senior management.
- High attention to detail and professionalism when handling sensitive and confidential information.
- Effective communication and relationship-building skills to engage with suppliers, contractors, and internal teams.
- Capacity to work independently, solve problems proactively, and manage multiple priorities efficiently.
**Job Types**: Full-time, Permanent
Pay: $29.66 - $34.00 per hour
Expected hours: 30.00 - 50.00 per week
Schedule:
- Rotating roster
- Shift work
- Weekend availability
