**About the role**
We are seeking a personable and hands-on Office Manager to join our busy Corporate Services team You will ensure the day-to-day smooth running of the regional offices; including managing office space and supplies and ensuring the front of house staff and services are efficiently managed. Managing the Reception Teams in our Auckland, Wellington and Christchurch offices, you will be responsible for ensuring a consistent, well running front of house service across all sites.
An exceptional communicator and multi-tasker, you can work to deadlines and manage stakeholder expectations. You’ll also thrive in a busy environment, embrace innovation, and revel in taking the lead and challenging the status quo. A high degree of personal resilience and exceptional time management is critical.
**Your responsibilities will include**:
- Coaching and management of Reception staff
- Drive optimisation of front of house services, and the smooth running of the GT offices/physical spaces.
- Ensure Reception staff are effectively leveraged to provide additional support and administrative activities where feasible.
- Manages the office spaces and supplies, and oversee facility maintenance as required.
- Coordinates all facilities management activity and landlord liaison.
- Coordination and negotiation of cleaner and supply contracts on a national basis.
- Supporting finance and procurement activities.
- Active involvement in continuous improvement to systems and processes, ensuring best practice.
**About you**
- Prior experience in a similar role.
- Experience in managing and coaching people.
- Experience with contract management; negotiation with suppliers.
- Proficient in Microsoft office suite and teams.
- Strong attention to detail.
- Strong verbal and written communication.
- Professionally presented.
- Demonstrates initiative and accountability, anticipating needs of key stakeholders.
- Resourceful, adaptable and solution focussed with a continuous improvement mindset.
- Client service - focused on providing high quality and timely service.
- Experience in finance and procurement support is desirable.
