**What is the role?**

This is a newly established role created to support our growing business, specifically the executive management team for StraitNZ. Duties are varied and include a wide range of senior management support duties and office management duties for the Bluebridge Head office. No day will look the same. Key tasks will include:

- Provide executive administrative support to the senior management team.
- Assisting the Executive team in preparing documentation and presentations as requested.
- Assist CFO and CEO with end-to-end Board processes, including managing the Board meeting agenda, deadline management and collecting data for the monthly board reports
- Management of executive team cadences, including coordinating and attending weekly executive meetings, and ad-hoc offsites
- Minute taker executive management meetings and monitor and report on follow up action points.
- Manage mail and correspondence as requested.
- Assisting the wider management team in effective file and document management processes
- Schedule meetings and book meeting rooms.
- Assist in organising company events and meetings.
- Handle the procurement and management of office supplies, equipment and facilities.
- First point of contact for head office landlord.

This is a permanent full-time position (40 hours work week) based in the Bluebridge Head Office in Wellington CBD. This position reports into the Chief Financial Officer and works with those based in this office well as other member's of StraitNZ based across New Zealand.

**What we are looking for**:

- Two to five years’ experience of providing executive assistance, personal assistance and executive secretarial support to a team of senior leaders.
- Excellent Microsoft office skills.
- Good writing and communications skills.
- Demonstrates a strong level of organisation and problem solving.
- Ability to prioritise work effectively and meet deadlines.
- Ability to work at a high level of independence, professionalism and self-initiation.
- Flexibility to work outside regular office hours when required.
