The Chief of Staff (CoS) is a new and crucial hire for Tradify. We now need an experienced leader to ensure we deliver against our core objectives and plan while supporting the CEO on longer-term growth opportunities.
Working with Tradify’s functional leaders, the CoS is responsible for ensuring the business is running smoothly on behalf of the CEO. The CoS will work as the right-hand advisor, and sounding board to the CEO and leadership team, with in-depth knowledge of daily operations.
**Duties and responsibilities of the Chief of Staff include**:
**Drive core financial and business performanc**e processes including annual strategy planning, goals, budget and headcount alongside the CFO. You will lead the generation of monthly performance goals and financial executive summaries that roll up to the CEO.
- CoS will suggest strategic initiatives (key projects) to improve workflow, teamwork, growth and other key business drivers.
- You will own the presentation of all annual operating plans, long-range and annual strategic plans, and Monthly/Quarterly Business Reviews.
- Complete complex business modelling and analysis to identify operating improvements and deep dive into cost structures in partnership with the CFO.
**Oversee daily operations**: The CoS role includes working on everyday action items such as working with department leaders on project coordination and business administration.
- You will act for the CEO in ensuring we are tracking against deadlines and project goals and take action when necessary to course correct.
- Guiding leadership meetings, including formulating the topics to cover, facilitating the discussion, capturing notes and action items, and following up. This includes quarterly offsites, monthly strategic, weekly tactical, and other leadership meetings. You’ll be responsible for refining the Tradify operating model going forward.
- Establish and track objectives, performance metrics, and key results—aggregate executive status reports for sharing within the organization and the senior leadership team. Identify opportunities for efficiency, proposing new systems/processes to streamline.
**Communication liaison**: Work with the executive team to ensure the CEO has a detailed calendar that includes all required presence with prep time and all materials needed for board meetings, speaking engagements, executive meetings, external meetings and investor reporting.
- CoS will attend board meetings and capture actions and ensure there is appropriate follow-up.
- Partner with CFO for investor relations and updates/shareholder reporting.
- Manage executive communications, including within the leadership team. This includes presentations for board meetings, company meetings and organizational updates.
**Problem-solving**: As CoS, you wield decision-making power to identify employee issues and provide workable solutions, then communicate only the pertinent details to the CEO, who may or may not follow up with additional direction.
**Project assessment and facilitation**: Whenever the CEO or board members execute a new initiative or special project, you’ll assess the risk, cost, and work required to achieve it, then facilitate and oversee the assignment of the project to completion.
**Corporate oversight**: CoS will ensure Tradify has the appropriate governance and review process for legal commitments, and general compliance and will be responsible for flagging, with the CFO and if appropriate outside counsel, any areas of concern.
**Requirements**:
- Leadership Experience: Ideally we want someone who has operated in a high-growth SaaS environment, prepared to be in the weeds but also think longer term. Operating within a matrix environment is a bonus.
- Project management Experience: Planning, overseeing, and implementing strategic initiatives requires experience with project coordination, budget management, data analysis, and strong decision-making skills. You will influence business decisions with effective verbal and written communication, data-driven analysis and modelling, and presentation of options and alternatives.
- High EQ and communication: As the link between the leadership team and the rest of the staff, you’ll need excellent communication skills. High EQ and diplomacy go a long way when transmitting directives from one department to another.
