Job Overview

We are seeking a highly skilled and experienced Office Manager to join our team at our central Auckland office. As a key member of our operations team, you will be responsible for ensuring the seamless operation and daily upkeep of all of Theta's five offices nationwide.

In this role, you will lead a small team of administrative staff across various regions as they handle essential tasks such as travel arrangements, internal meetings, purchase orders, training, exam bookings, etc. You will also provide crucial support to the senior management team by organising weekly management meetings, capturing minutes, and coordinating necessary follow-up actions.

Additionally, you will work with our suppliers to provide Theta with safe and desirable offices to work in. You will also be responsible for monitoring and implementing Health and Safety processes across the Theta offices, chairing H&S Committee meetings, and taking minutes to ensure everything runs smoothly.

Responsibilities:
  • Manage office facilities across multiple locations
  • Lead a small team of administrative staff
  • Coordinate travel arrangements, internal meetings, and purchase orders
  • Support senior management team with meeting organisation and minute-taking
  • Work with suppliers to ensure safe and desirable offices
  • Implement and monitor Health and Safety processes

Skills and Qualifications

To be successful in this role, you should have extensive experience in managing office facilities ideally multi-location, proven leadership experience in managing administration staff, and excellent communication skills. Time management and organisational skills are essential in managing shifting priorities and adapting to change.
