We are currently seeking a highly motivated and organized individual to join our team as a Workplace Maintenance Specialist. In this role, you will be responsible for maintaining the smooth operation of our buildings' infrastructure, including administrative support, budgeting, procurement negotiation, contractor liaison, and documentation.
Key Responsibilities
- Collaborate with other departments and external companies to draft and execute budgets for assigned projects
- Coordinate and manage all aspects of assigned projects to ensure timely completion within available budget
- Manage planning, consultant and contractor selection, pre-construction, bidding, construction management, quality assurance, closeout, and project turnover for operations and maintenance
- Prepare, organize, and store information in paper and digital form
- Deal with queries on the phone and by email
- Greet visitors at reception
- Manage diaries, scheduling meetings, and booking rooms
- Arrange travel and accommodation
- Arrange post and deliveries
- Printing and photocopying
- Ordering office supplies
- Maintaining office systems
- Liaising with suppliers and contractors
- Liaising with staff in other departments, e.g., finance, HR
- Keeping track and recording budgets and orders, with any purchases made on credit and invoice
- Updating and maintaining desk plans for our offices
- Internal monthly reporting on facilities
