Job Summary:

The Administrative Assistant will provide administrative support to the Blackjack Paving team. This includes completing administrative and pre-project tasks, providing backup support, and ensuring the office operates efficiently.

Responsibilities:
  • Answer phones in a timely manner
  • Manage tradeshow and sponsorship activities
  • Oversee front office visitors, gates, and employees
  • Release leads and opportunities as directed by Sales Managers
  • Update project information in T-sheets
  • Acquire and distribute necessary documents to clients
  • Order PPE and uniforms
  • Maintain office phone and internet systems
  • Clean and organize the office daily

Additional Duties:
  • Assist with onboarding as directed by HR
  • Backup for scheduling hotel accommodations
  • Pre-qualify new vendors
  • Order marketing materials
  • Cross-train on Accounts Receivable and Payable roles
  • Ensure business licenses are obtained
  • Audit master keys annually
  • Perform data entry tasks

Qualifications:
  • Bilingual in English and Spanish is preferred
  • Excellent housekeeping and organizational skills required
  • Timekeeping via T-Sheets application is essential
  • Strong work ethic and positive attitude required
  • Ability to work independently and as part of a team
  • Attention to detail and communication skills are crucial
  • Must ensure a safe work environment
  • Comply with company drug and alcohol testing requirements
  • Valid driver's license is required
  • Interpersonal, time management, and problem-solving skills are necessary
