Venue Operations Coordinator

We have an exciting opportunity for a Venue Operations Coordinator at one of our valued clients based in Bowen Hills.This Brisbane-based role requires a strong understanding of the events industry.
The ideal candidate should be capable of working independently and taking full responsibility for managing the operations department and technical resources.We are seeking a candidate with excellent communication and organisational skills, a strong willingness to learn, and a proactive approach.
Your people management abilities and capacity to handle multiple tasks will play a key role in enhancing our ability to deliver exceptional shows for our clients.Primary Duties for this role:Understanding the crew's skills and capabilities to efficiently assign them to events where they can contribute most effectivelyManaging the venue calendar and planning labour and equipment allocations between eventsResolving equipment shortages and arranging transfers from the base warehouseTaking ownership of transfers in and out of the venue and overseeing delivery and return - or delegate to onsite crewCoordinating with the venue operations team and maintaining the venue logistics spreadsheet while handling ad hoc venue requestsAttending Event Order Meetings with all venue departments and raising any concernsParticipating in AV order meetings and preparing crew prints, floorplans, and other essential documents for senior team handoverAttending operational teams meeting with state ops manager and relaying any info to venue teamKeeping crew info up to date for every job and identifying key information requiredApproving crew timesheets daily and addressing any discrepanciesSkills and experience required to apply for this role:Previous administrative experience, ideally within a trade or hospitality teamProficiency in CRM or other sales and client management software (RentalPoint experience is a plus)Strong understanding of financial considerations related to labour, operations, and logisticsAbility to manage multiple projects simultaneously and coordinate event-related tasksHighly organised, systematic, and able to prioritise effectivelyCapable of or showing potential to identify opportunities for enhancing efficiency and implementing new processes.Excellent communication skills with management, clients, partners, and colleaguesSelf-motivated and able to work independently while seeking guidance when neededProactive problem-solver with a confident, "can-do" attitudeProficient in Outlook, Excel, and the full Windows suite (AutoCAD or similar is advantageous)Experience in crew management with the ability to provide clear and concise direction for event executionForward-thinking with the ability to anticipate busy periods and plan accordinglyWhat will we do?Respect your personal life and work/life balance.
