The Opportunity:
Reporting to the Senior Manager, Operations Account Services & Support, The Operations Assistant will support our Wealth Advisors and associates to ensure quality control of documents and that procedures are properly implemented and maintained.
Key responsibilities include:
Assist in establishing department procedures, implementing, and continually reviewing them to create efficiencies.
Provide timely and accurate responses to documentation queries and account opening requests from internal departments and investment advisor teams.
Doc Support Inbox: Manage, resolve, and assign tickets to appropriate teams and departments. Monitor ticketing systems within internal platforms and manage day-to-day workflow operation processes.
Collaborate with other departments to support account opening within the organization.
Manage returned mail and hold mail requests following internal department processes.
Maintain electronic copies of all submitted documentation within Advisor Connect and Croesus.
Provide clients with signed documentation and welcome packages via electronic signature platforms.
Advisory Team Relational Support: Resolve issues, answer inquiries, attend meetings, and coordinate with departments and third-party stakeholders to provide optimal client support.
Perform other duties as assigned.
The ideal candidate will possess:
College or University undergraduate degree in a related field, or equivalent work experience.
1-2 years of financial services industry experience, preferably in an administrative or operational capacity.
1-2 years' experience in a customer/client-service facing role.
Demonstrate exceptional accountability, reliability, adaptability, and innovation in daily tasks and long-term objectives.
Exhibit an excellent attitude and unwavering commitment to providing extraordinary service.
Showcase meticulous attention to detail in all responsibilities.
Possess exemplary interpersonal skills with the ability to communicate effectively and work collaboratively across various mediums (in-person, over the phone, and virtually).
Display strong organizational skills to manage tasks efficiently.
Utilize strong critical thinking and superior written and verbal communication skills.
Maintain the highest levels of confidentiality in all matters.
Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
Experience using Croesus, iMost, Net Rep, Thompson One.
Conditions of employment:
