**The role**

The Purchasing Officer / Shipping Administrator reports to the Logistics Manager and communicates with all Multispares staff and suppliers as required. This role is based in our New Zealand head office located in the Lower Hutt.

The main responsibility is to secure an uninterrupted obtainability of parts at the right price while keeping a reasonable amount of stock.
- Develop and maintain effective relationships with our many suppliers locally, ensuring competitive pricing and exceptional delivery performance.
- Analyse product needs in the portfolio and create and forward purchase orders to suppliers.
- Monitor and secure the timely delivery of supply by following up on purchase orders, obtaining the relevant confirmation and ensuring that the systems are updated with the relevant information.
- Proactively identify products where stock or supply is at risk and find solutions before the risk becomes a problem.
- Provide quick answers to requests from our Sales staff. For Example - Shipping and Stock Issues
- Assist with processing shipping issues/stocks related to the product portfolio.
- Ensure correct import documentation is on hand for all shipments.
- Liaise with customs agents, ensure that all necessary documentation is forwarded promptly.
- Review on a weekly basis the status of all shipments and liaise with freight forwarders to ensure on time receipt of shipments. Update due date information as advised by freight forwarders.
- Liaise with National Warehouse Manager and advise pending receipt of shipments.
- Liaise with National Warehouse Manager and Logistics Manager discrepancies in shipments and communicate with suppliers to rectify discrepancies. Where necessary enter return for credit advice in RFC program.
- Reconcile supplier back-order reports with outstanding purchase order reports.
- Inventory file maintenance as required by the National Product Manager.

**About You**

The role requires an individual with analytical thinking, an exceptional care factor, and great attention to detail. Ability to handle multiple tasks with speed, and be able to prioritise your workload.

In addition:

- Desirable experience in the Vehicle Industry
- At least 2 years’ experience in a corporate environment
- Prior purhasing/shipping experience is an advantage
- Be able to demonstrate strong analytical and organisational skills and good problem solving skills
- Intermediate MS Office Skills
