Mō te tūnga - About the role
Positions like this do not come around very often As the Office Team Leader you'll have two key aspects of this position, thus being a people leader and office management.
Firstly, the people leadership. The community office team is typically made up of up to seven staff. In this section, you'll have a key part to play in the growth and nurturing of those staff to ensure that they are performing to the best of their ability. As any people leader knows, removing roadblocks for them to achieve what they need to will be crucial.
Secondly, office management which relates to the effectiveness and efficiency of how the office(s) are operating. You'll need to ensure that your staff have a clear and concise workplan with their tasks and responsibilities laid out in an easy-to-follow format.

Regarding your soft skills, you'll need to have a high level of empathy and cultural sensitivity and no matter who you're engaging with, you leave them feeling supported and valued. You're happy to work autonomously or in a team setting. You'll be well known for your proactive, driven, and resilient nature. If you have knowledge of current legislation and parliamentary processes will be starting with a run up into this position.
**Ngā haepapa - Responsibilities**:
- Develop, establish and manage office processes, procedures and standards, and training staff in these, to enable the smooth running of the offices
- Ensure staff understand their responsibilities and are aware of the confidential nature of their work
- Develop, manage, report, and provide advice on the Member's support budget allocation, process, expenses and follow up on any issues, and deliver monthly certification reports for the Member's approval
- Lead and coordinate staff and volunteers in the Member's Electorate and Community offices with a clear strategic plan
- Develop and manage staff leave rosters, office security, and facilities management where necessary
- Organise a quarterly plan for office engagement which includes office hours, external constituent clinics and events, which may involve having the MP in attendance
- Create and manage the maintenance of confidential records, files and databases
- Be the escalation point for other staff regarding constituent case management, policy or communications issues
- Identify potential issues of concern to the Member and provide advice on resolution

As an employee of Parliamentary Service, you will be politically impartial in your role. An awareness of the political landscape may be beneficial in supporting your MP.
The pay band for the role starts at $83,250 per annum and appointments will be based on skills and experience. All employees who work for MPs are employed on an 'events based' agreement, with your employment linked to your MP. This role is based in an Electorate office in Wellington, for 40 hours per week.
