Being able to multitask throughout the day and stay focused and organized are key factors to success in this role; switching tasks as needed to address urgent requests is expected. Additionally, this role will interface with key ICON clients making professional demeanor, appearance, and behavior absolute requirements of day-to-day roles and responsibilities.

Other functions span basic yet essential tasks across the scientific and medical publication landscape, such as assisting with relevant project and editorial management tasks. Although prior experience working with network databases is helpful, it is not necessary; ample onboarding, training, and interactive review of assigned work and your progress will be provided. Based on this and the overall description, the Editorial Assistant-Scientific Publications role will fall broadly across the following approximate allocations (as needs may vary, these allocations may be altered as necessary/required). To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

75% of the role is Database Management and Support
- Management and maintenance of internal and client databases including Knowledge Manager
- Regular interaction with client contacts across multiple therapeutic areas to help with tracking tasks as directed in addition to supporting the management of project status as may be required
- Helps support compliance activities of client project related materials as directed
- Reads, analyzes, and interprets scientific and technical journal and medical congress content at a basic level
- Proactively liaises with internal functional leads (both Scientific and Project Management) and clients on project-related matters as appropriate
- Communicates and collaborates effectively with others at all levels within the organization and externally with clients, authors, and others as directed/required
- Help manage and support technical and administrative functions for multiple, simultaneous projects of varied complexities
- Able to proactively determine the multiple tasks involved in a project or assignment and prioritize their completion

20% of the role is other Editorial Assistance
- Contribute to literature searches (e.g., using PubMed, other online databases) and associated alerts that the ICON team provides to the client
- Assist with preparation of submission materials and submissions for manuscripts and abstracts to be submitted to scientific journals and medical congresses
- Research and download author guidelines from identified journal and congress websites to internal databases as needed (e.g. SharePoint)
- Assist with ad hoc projects as directed
- Help support maintenance of EndNote libraries to ensure accuracy and easy use across multiple resources

5% of the role is General Administration
- Attend company, team, and department meetings, coming prepared to provide updates on the status of projects
- Record all project time in ICON’s time tracking system
- Maintain personal goals to document performance and job/career progress as required
- Complete all mandatory internal and external trainings
- Perform other duties as required or assigned

What you need
- Bachelor’s degree or higher required
- Applicants who have recently obtained their degree are encouraged to apply
- Applicants with prior relevant experience in a medical publications/medical communications agency preferred
- Understands general scientific, clinical, and technical concepts
- Demonstrable command of the English language (read, write, and speak) with strong grammar and proofreading skills
- Able to produce clear, substantive and effective written and oral communications
- Exceptional time management skills
- Strong critical thinking and problem-solving skills
- Ability to learn and gain proficiency with network directories/databases is required
- Proficiency with MS Office Suite and Acrobat Pro is required; SharePoint and EndNote proficiency preferred
- Familiarity with AMA, ICMJE, and GPP guidelines preferred
