Our client Tūwharetoa ki Kawerau Hauora are looking for a trustworthy, confidential, well-organised Board Secretary to join their team. Established in 1995, our client provides quality health, social and education services for all who reside within the rohe of Tuwharetoa Ki Kawerau and Eastern Bay of Plenty.
**He aha te tūnga | About the role**
Reporting to the Board Chair, you will be responsible for ensuring that the Board functions efficiently and in accordance with relevant legal and other requirements. Providing administrative support to the Board of Tūwharetoa ki Kawerau Hauora and ngā Komiti, through the timely and accurate collection and sharing of sensitive information, the Board Secretary will ensure that the Board is well informed and all Board activities are well documented for the use of all Board Members and its sub-committees. This is a part-time opportunity of approximately 50 hours per month
**Key responsibilities of the role include**:
- Preparation of meeting agenda and meeting pack documents
- Arrange catering for meetings
- Attend Board meetings and sub-committee meetings (note these can be at times outside of normal business hours)
- Take comprehensive, accurate meeting notes
- Distribute meeting notes, reminding Board members of assigned tasks
- Board calendar management
- Collation of confidentiality, Disclosure of Interest Register and other associated forms
- Trustee personnel file management, updating details as required
- Ensure all documents are managed and filed as per protocol
- Organise Board retreats
- Diploma degree or higher in office management
- A minimum of three years’ experience, in an administrative position
- Proven experience and/or the ability to implement ngā uara into an organisation
- Proven experience working in a kaupapa Māori environment
- Knowledge of TKKH and the Eastern Bay of Plenty Communities
- Strong relationship and network management
- Excellent organisational skills, with the ability to meet deadlines
- Strong project management and good execution capability
- Excellent note taking, transcription and computer literacy skills
- Proficiency in all Microsoft Office functions
- Understanding of the effective functioning of a non-Government organisation
- Knowledge of Tūwharetoa ki Kawerau tikanga and kawa is desirable
- Competency in Te Reo Māori and a good understanding of tikanga Māori is desirable
- Previous experience working for a Board in a secretarial position is desirable but not essential
It goes without saying that you will be professional, trustworthy, confidential and have excellent attention to detail. Being analytical, strategic and showing initiative with strong business awareness are all desirable qualities too.
