An exciting new opportunity has come up with one of our clients one of New Zealand oldest firms For a legal float secretary position. This client is a leading expert in the areas of commercial law which our clients need. In addition to our five legal departments - corporate, litigation, banking and finance, real estate and projects and tax. This position would suit someone who has between 3-5 years experience in a similar role along with the passion of providing excellent service to clients.
Key Responsibilities
Cover for a secretary who is on leave / a secretarial role vacancy, efficiently and effectively supporting the relevant legal team by attending to the things their secretary would usually manage for them. This includes:
- Opening and closing files;
- Document creation and formatting;
- Completing work via digital dictation;
- Attending to all relevant aspects of Elite, billing and client reporting;
- Answering/making calls and passing on messages;
- Diary management where required;
- Arranging meetings and travel;
- Attending to printing, photocopying and filing as required;
- Running errands;
Anything else usually done by the secretary to support the legal team (including as in any available A-Z guide for the relevant authors).
Essential Skills
- Fast, accurate typing (including copy typing and dictation) - minimum 75wpm and 95% accuracy.
- A high standard of written and verbal English, demonstrated by accurate spelling and grammar.
- Previous Legal Secretarial Experience within a large law firm, with experience in:
- Supporting a group of authors including Partners and Senior Associates
- Working with document management systems, CRM systems and practice management systems
- Digital dictation.
- Proficiency with Microsoft Word including:
- Formatting including automatic numbering and working with styles
- Red-lining documents (tracked changes)
- Using ‘document compare’
- Creating and editing tables.
- Proficiency with Microsoft Powerpoint including:
- Creating and editing presentations using templates and styles
- Inserting and editing graphics such as charts, graphs and images
- Setting up slide transitions and timing.
- Proficiency with Microsoft Excel.
