School and Student Support Administrator

School and Student Support Administrator English Teaching College Level 2 Willis Street, Te Aro, Wellington Student Services (Education & Training) Full time Administration First point of contact (welcoming students and visitors). Provide assistance to students to complete enrolment forms. Attend to student enquiries in person, on the phone or by email. Respond to and process student’s applications and accommodation requests. Process student withdrawals as required. Manage student management systems and databases. EROL administration. Oversee accuracy and completion of Attendance Register. Accurate and timely maintenance of all academic, administrative and pastoral care records in the Student Management Database. Creating reports on time for TEC for our Intensive Literacy and Numeracy Programmes. Complete documentation for student enrolment, fees and offers of place. Provide information and assistance to academic staff within the school in regards to administration processes. Liaise with stakeholders (such as, Red Cross, Kiwi Class, ELP, TEC, Study Link, NZQA,..). Ensure all messages are relayed appropriately and in a timely manner. Handle petty cash/debit card transactions and forward documents to head office. To undertake additional duties as specified from time to time by management. General administration duties, such as filing documents, creating online and physical folders for students, archiving, photocopying and printing documents. Other activities that might reasonably be expected of a professional Administrator. Pastoral Care First point of contact for student pastoral care. Establish and maintain student/staff relationships (as per Code requirements) Pastoral care of students; liaise with relevant staff to ensure continuity of care throughout the student enrolment period. Refer students to other organizations when required Conduct pastoral care interviews with students (as per Code requirements) Assist with the Emergency/out of hours contact for homestay students Assist with the process Homestay Families Police Vetting documentation Assist with the timely and accurate maintenance of pastoral care and homestay documentation in SMS Other activities that might reasonably be expected to meet Pastoral Care needs. Student Support Facilitate placement tests for students. Issue student cards for all students Create NSI for all students. Provide orientation services to all domestic students; and to international students when required. Assist students with Snapper card registration and other technical issues. Assist students with WINZ and housing issues. Administrate TEC online Assessment Tool for students Provide ongoing pastoral care for students as required. Assist with organization of school-wide events for students and staff as required. Where possible provide first language support to ETC staff and students. Other activities that might reasonably be expected to support students. Support to Director of Studies and Management Assist the Director of Studies in making informed decisions regarding students’ English needs and abilities; and student class placements and programs. Assist the Director of Studies with class placements. Assist the Director of Studies to provide academic guidance to students during their time at ETC. Assist the Director of Studies in decision-making processes. Contribute information and advice to academic staff with regard to students’ progress. Provide immediate feedback to Director of Studies regarding issues and enquiries raised by staff or students. Refer to the Director of Studies/senior management any major issues which need to be addressed regarding students/agents, including complaints. Support tutors in administration matters. Provide training to new staff. Other activities that might reasonably be expected to support the Director of Studies and Management.
