Job Description:

As an Admin and Purchasing Manager with The Wine Distribution Co. Pte Ltd, you will play a pivotal role in supporting the sales team, supervising the Warehouse team, and overseeing procurement and shipping.

  • Provide support to the sales team by updating all local online partners on new wines, prices, and deals.
  • Prepare accounts, quotations, and contracts.
  • Process customer orders and verify pricing and vintages for orders received.
  • Ensure that orders are prepared correctly before delivery.
  • Address any enquiries received from customers and sales representatives.
  • Provide the optimal delivery option for local deliveries.
  • Take charge of weekly transfers from the bonded warehouse to our ARC warehouse.
  • Be responsible for monthly stock takes and good storekeeping.
  • Analyze existing stocks and propose ways of clearing slow stocks.
  • Improve general purchasing processes and search for optimal shipping options.
  • Maintain a clear and open line of communication with Marketing and Retail regarding the arrival of new wines.
  • Analyze expenses for bonded warehouse storage, weekly transfers, local shipment transit, and transport of orders, and recommend more cost-efficient options.
  • Assist the finance team in generating aging reports and statements of accounts to customers.
  • Manage and coordinate Admin, Purchasing, and Logistics responsibilities.
  • Be exposed to other skill-development plans or ad-hoc tasks beneficial for your development.

Job Requirements:

  • Prior experience in an administrative role is required.
  • Experience in managing a team would be an advantage.
  • Strong organizational and multitasking skills with meticulous attention to detail.
  • Good communication and interpersonal skills.
  • Proficiency in using office software and tools, including Microsoft Office Suite.
  • Familiarity with inventory management systems and databases.
  • Honest willingness to learn and grow with the Company.
