Opportunity currently exists for a highly capable Office and Facilities Manager to join our Nestlé Headquarters in Parnell, Auckland. This pivotal role will support the Nestlé business with facilities management, contractor management and office management, to enable optimum work efficiency, cleanliness and fluidity of office at all times. A day in the life...

Reporting to the SH&E Manager, responsibilities include but are not limited to:

  • General office administration and coordination and liaising with cleaners
  • Co-ordinating service providers with regards to building and facilities
  • Contractor Management including inductions for all new staff and contractors that enter the Nestlé office
  • Front desk concierge to ensure visitors are efficiently connected with their Nestlé contact
  • Arrange couriers for collection and receiving & distributing all deliveries
  • Vendor management including sourcing providers for specific tasks or services and managing them in the system (vendor creation, purchase order & invoice management)
  • Ensure general office areas and meeting rooms are in top shape
  • Arrange catering for staff and client meetings, on and off site
  • Ensure proper functioning of office equipment, liaising with repairers when necessary
  • Overseeing waste management to ensure recycling, minimising waste to landfill
  • Safety and Security Management support. Evacuations, emergency management support etc
  • Ordering of product for staff shop and stocking of shelves. Complete monthly Stock-takes and report to finance

  • Previous Facilities, Office Management experience or experience in administrative roles
  • Good computer skills and proficiency in the Microsoft Office Environment (Microsoft 360).
  • Proactive and positive attitude with a willingness to go the extra mile
  • Honesty, integrity and great time management
  • Strong interpersonal, communication, and influencing skills
  • Proven track record in delivering results by working with cross-functional teams
