About the Role

As a Reservation Administrator, you will be responsible for the daily functioning of our room booking system and client meeting areas.

You are responsible for ensuring all details are accurately captured and that the FOH Team has all information needed. You will be a valued FOH team member delivering exceptional customer service, your responsibilities for this role include but are not limited to;

Main Duties

  • Coordinate and book meeting rooms and events
  • Build sound working relationships with our key stakeholders
  • Respond to requests within 24 hours, confirming all arrangements where possible with the booker
  • Liaise with the catering department, ensuring that they are aware of event/meeting requirements
  • Complete daily room booking confirmations for the following day, ensuring any changes are effectively communicated back to the FOH team
  • Informing the FOH Team Leaders when additional employees/out of hours employees are required
  • Daily briefings with the Room Set up Technician
  • Coordinate storage requirements for any external service deliveries relating to room bookings with the Room Set up Technician
  • Provide break cover for Lobby Reception team when needed
  • Assisting with meeting room set up and down along with audiovisual equipment when needed
  • Maintain a neat and wellgroomed appearance as per uniform guidelines
  • Meet and Greet guests and clients in a professional manner
  • Escort clients to client meeting room as required
  • Assist with Concierge and administrative support as required
  • Answering phone calls promptly, professionally and attentively
  • Offer/ serve refreshments as required, assist with event services as required
  • Any additional duties as instructed from the FOH Team Leader

Key Requirements

  • Superior organisational skills, professional presentation and attention to details
  • Intermediate MS Office skills and room booking software experience preferable
  • Excellent communication skills
  • A positive attitude and a flexible and adaptable nature
  • Ability to work within a team and independently when needed is crucial
